Conference room AV systems

A conference room system is easier to approve when it is written down as a bill of materials: display, camera, microphones, switching, mounting and control, each with a model number and quantity.

Use the components below as a checklist against your room drawings and your conferencing platform. Confirm each item on the manufacturer spec sheet, then send the list for a written quote covering one room or a standard build repeated across many.

Frequently asked questions

What should a conference room AV quote request include?

List the room dimensions, seat count, conferencing platform, the number of displays, and any existing equipment you plan to reuse. If you already have model numbers, include them with quantities; otherwise describe the room and the outcome you need.

Do I need a PTZ camera or will a video bar work?

Video bars suit small rooms where everyone sits close to the display. Deeper or wider rooms usually need a PTZ camera with separate microphones so that people at the far end of the table are framed and heard clearly. Check the camera field of view and microphone pickup range on the spec sheets against your room layout.

Can one room design be repeated across several sites?

Yes. Standardizing on one bill of materials simplifies support and spares. When quoting multiple rooms, give the per-site quantities and delivery addresses so the quote reflects the full volume and shipping plan.

How do I confirm lead times before committing?

Lead times vary by manufacturer, model and quantity, and can change. Ask for availability to be confirmed on the written quote, and identify any items that have acceptable alternates if a model is constrained.
